We have a fantastic opportunity for a highly motivated and accomplished Practice Manager to join our team. We are looking for an excellent people and strategic manager with demonstrable experience of leading teams. This is an exciting opportunity to play a pivotal role in leading the practice going forward within a well-rounded and supportive team, working with a relatively new partnership which formed in 2022.

Candidates need to demonstrate:

- Management experience. Previous management experience is essential. NHS experience is desirable but not essential for the right candidate.

- Leadership and management capabilities

- Experience of undertaking appraisal and operate performance management systems

- A good understanding of employment law, employment contracts and health and safety

- Ability to working within a budget, managing finance systems and preparing regular financial monitoring information

- Experience of quality systems with framework of annual audit monitoring

Main duties of the job

You will provide clear and positive leadership and vision to the strategic management of the practice and will be expected to constantly review and recommend strategies for its development and effectiveness. On an operational level you will be responsible for the overall business efficiency of the practice, the maintenance of the existing team spirit, and the provision of a communication link to third parties. This includes representation of the practice as required.

Working closely with the Partners, you will keep abreast of contractual and compliance changes and update the Partners promptly to allow them to make informed decisions and implement improvements and legislative change where necessary.

This is a varied and complex role, you will be required to be adaptable and calm in stressful situations. The Practice Manager will need to provide guidance and solutions to unexpected challenges and resolve building, staff, and patient problems as they arise. Time management and adaptability are key to the role.

Fishguard Health Centre is a rural costal practice providing medical services for 9,500 patients. Staff benefit from modern facilities and NHS pension. The clinical staff consists of four GP partners with 3 salaried GPs, 3 Practice Nurses a Health Care Assistant and a Phlebotomist, along with a managerial, administrative and reception team. In 2026 the surgery plans to move to a modern purpose built community health and well being centre.

Co-ordinate, support, participate and contribute to Partners Meetings, and implement and review actions.

Be familiar with the terms of the Partnership Agreement, monitor compliance and recommend remedial action if required. Where appropriate, liaise with solicitor in drafting/amending the Agreement

Advise on the completion of administration and financial arrangements in the event of partnership change; propose amendments to the Partnership Agreement if appropriate. May contribute to the recruitment and selection process

Finance and Resources

Manages the Practice accounts, ensuring accounts are reconciled monthly, preparing a monthly income & expenditure statement and submitting and promptly at year end to the practice accountant

Advise Partners of structure/format of monthly accounting process, establish and implement appropriate financial controls including controls over expenditure, Petty Cash

Monitor cashflow, prepare regular forecasts and financial reports to partners

Be fully familiar with the terms of the GMS Contract, and through negotiation with the LHB and preparation and submission of regular development plans, ensure the Practice receives an appropriate and equitable allocation of resources

Establish appropriate systems to maximise income and monitor targets; support the Partners and admin staff to achieve maximum clinical targets and assess profitability of both Direct and Local Enhanced Services; identify all other income generation opportunities; report any under-performance, and institute remedial action.

Manage the monthly Payroll process, managing PAYE and NHS pension systems, all within HMRC and NHS Pension scheme requirements, ensuring financing and security controls are in place.
