An exciting opportunity has arisen for an experienced Receptionist/ Administrator to be based at our Livingston site. You will provide support and administration over a wide number of areas and on ad hoc projects. You will undertake all standard receptionist duties and be the first point of contact for all visitors arriving on site. This will include facilitating visitor / contactor inductions, issuing relevant PPE -safety shoes, hygiene jackets, Hi-Viz, hairnets etc and relevant paperwork and permits.
We are looking for a conscientious, personable, proactive, self-motivated individual who has the drive and determination to succeed and progress in their role.
Tasks And Responsibilities
Operation & management of access gates into site
Issuing visitor and contractor site sign in cards
Meet & Greet all customers to site and direct accordingly
Answer all calls and enquiries that come to site and direct to relevant person
Oversee visitor and contractor induction procedure and update register for validity and traceability
Dealing with deliveries and organising couriers for package deliveries
Ad hoc administration in line with business needs
Responsible for managing all incoming and outgoing mail
Managing the fire role call in the event of a fire alarm evacuation
Setting up meeting rooms, arranging catering and refreshments for meetings
Experience
Strong interpersonal skills with the ability to communicate effectively both verbally and written
IT literate, with excellent PC skills: Excel and Word
Self motivatedwith a flexible and adaptable attitude.
Excellent attention to detail and problem solving
Data processing/handling
Excellent organisational and prioritising skills
Previous experience of working in a reception and/or administration role would be advantageous
