The Role


Blue Owl is seeking a dynamic and organized individual to join as a Receptionist. This position is crucial to the London office’s daily operations, as you will be responsible for managing the front desk, ensuring a smooth office environment. As the first point of contact for clients and visitors, you will play a key role in providing exceptional customer service and representing our firm's professionalism.


Responsibilities


  • Reception Duties:
    • Greet and welcome clients, visitors, and guests with a friendly and professional demeanor.
    • Answer incoming phone calls, provide accurate information, and direct calls to the appropriate individuals.
    • Manage the reception area, ensuring it is clean, organized, and presentable at all times.
    • Manage all meeting rooms, oversee scheduling and work closely with the Administration Team on room requirements.
    • Handle incoming and outgoing mail, packages, and deliveries.
    • Maintain office supplies inventory, anticipate needs, and place orders as required.

  • Administrative Support:
    • Assist with general administrative tasks such as data entry, and filing.
    • Work closely with the Office Manager to ensure that the office is maintained to a high standard
    • Reconciliation of invoices and expenses for the London Office.
    • Provide administrative support to various teams within the firm, including set up of meetings.
    • Collaborate with administrative staff to ensure efficient office operations.

Qualifications


  • Demonstrated experience as a receptionist, ideally within a financial services firm or a related industry. We also encourage applicants with a background in the hospitality industry to apply.
  • Excellent communication and interpersonal skills, with the ability to interact with clients and colleagues at all levels.
  • Strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Proficient computer skills, including MS Office (Word, Outlook), Concur and familiarity with office equipment.
  • Exceptional customer service skills and a professional attitude.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • First Aid and Fire Warden Certifications preferred, however the company can provide relevant training.
