The post holder will form part of a small team who will provide full secretarial and administrative support to the Dermatology team within the Clinical Service Group.
The post holder will also be expected to liaise in a professional manner with colleagues, visitors and patients as well as undertake a wide spectrum of administrative and secretarial duties.
The post holder will be expected to manage and prioritise their own workload using experience and initiative.
Duties will include typing medical correspondence, audio typing, distribution of mail and filing duties as well as managing waiting lists and patient pathways. Scheduling of surgical appointments, liaising with staff, patients, relatives and external partners. The role will require tact and diplomacy.
Manage the electronic dairy of the Consultant. Arrange meetings when appropriate.
Carry out routine tasks e.g photocopying, scanning, filing, shredding . Distribution and process of sensitive and confidential documents.
Ensure all pathways are up-to-date and accurate in accordance to RTT guidelines.
Ensuring all parties are notified of planned leave for Consultant/s and their team including completion of clinic reduction proformas .
Ensuring patient notes are handled efficiently
Deal appropriately with abnormal and/or urgent investigation results by bringing to the attention of appropriate persons within the Team.
Provide general non-clinical advice to patients.
Ensure maintenance of adequate levels of stocks of stationery, and participate in the Departmental procedures for ordering.
Participate and assist in the training of new staff in the use of new technology and developments in secretarial practice, where appropriate. Supervise the Support Medical Secretaries. When required, cover the absence of Medical Secretary Colleagues.
