Job Summary
The post holder will provide an efficient and professional point of contact for patients and visitors. To act as focal point of communication between patients, clinicians, practice and community staff. This post has no supervisory, managerial or budgetary responsibility.
Specific Responsibilities
To receive patients in a friendly, polite and courteous manner and provide relevant information.
Utilise the SystmOne system either by face-to-face or by telephone contact to ensure the efficiency of the appointment system and to monitor the flow of patients into the consulting and treatment rooms. To explain and show all patients how to use the automatic booking in system.
To explain practice arrangements and formal requirements to all new patients and those seeking temporary cover, ensure that the correct procedures are adhered to.
Respond promptly to all queries and requests for assistance from patients and visitors.
To book all temporary visitors into and out of the practice.
To deal with SystmOne tasks as received from Doctors/Nurses/Admin staff.
When necessary, operate the stair lift to take patients to the first floor for their appointment (this applies to Roman Gate only)
To scan all patient documentation in to the patients clinical record, ensuring that great care is taken in doing so.
To run all patient summaries off SystmOne for patient visits or as directed by the Doctor.
To ensure that all complaints about services provided are directed to either the Reception Manager or the Assistant Practice Manager.
Transfer the telephones over to the emergency system in accordance with practice policy.
At the end of the day to tidy the waiting and childrens play area.
To conduct a close down of the practice and ensure proper security proceeds are in place before exiting the building.
Reception/Patient Waiting Area
To ensure on a daily basis that the area is kept both clean and tidy. Report any areas which need cleaning to the Reception Manager.
To tidy and control all patient reading literature and leaflets.
To ensure that the childrens play area is kept tidy and that the toys are wiped over on a monthly basis. Throw away any toys which have become unsafe/damaged.
To keep all plants in the area in a healthy state.
To check that all the information on the notice boards is relevant and up-to-date.
All plants are watered and kept clean and in good condition.
Building
To secure the premises at the end of the day, usually 18:15 and ensure the building is totally secured including all lockable exits are locked, lights turned off and the alarm activated when necessary. If working on a late night surgery, the practice will close at 20:15.
Personal Qualities
The post holder will have regular contact with the public and will enjoy helping people of all ages and backgrounds. An outgoing personality, patience, tact, stamina and good communication skills as well as a high commitment to team work and a flexible approach to work is essential.
Confidentiality
The post holder must maintain the confidentiality of information about patients, staff and other health service providers at all times. The work is of a confidential nature and information gained must not be communicated to other persons except in the recognised course of duty.
Flexibility

You will be working set hours between the hours of 8:00am -6pm, however flexibility will be required. Starting rate of pay is £11.75 and rises to £12.per hour on completion of 6 month probationary period and assimilation of the role prior to any increments.
We are looking to recruit a flexible, enthusiastic and motivated person with good communication skills to join our established team. With a pleasant telephone manner, good customer service skills. The ability to work under pressure and prioritise workload is essential.
