Job Overview

This is part-time 22.5 hour post.
The postholder will work independently and with initiative to manage their own workload.
To provide efficient and effective administrative support to the lead Quality Improvement (QI) Advisor, ABCi Improvement
Lead and ABCi team, including record keeping, typing, data entry, photocopying, scanning, filing, creation and
maintenance of spreadsheets and databases, etc.
To act as central point of contact for the ABCi enquiry process ensuring that enquiries are received and processed in
accordance with the enquiry process.
To maintain and file documentation/records into the electronic ABCi SharePoint filing system as appropriate in accordance
with local processes for record keeping.
To arrange, service and attend meetings as required including preparation and circulation of agenda, papers and minute
taking as requested and ensure that follow up actions are communicated when appropriate.
To provide comprehensive, professional and confidential administrative support for the organisation of training events,
workshops, improvement collaboratives as appropriate.
To support ABCi’s role as the central quality improvement team for Aneurin Bevan University Health Board (ABUHB)
Main duties of the job
Provide administrative support to the ABCi team.
Maintain and manage electronic diaries and commitments for the ABCi team, including arranging and changing
appointments, prioritising these as appropriate. Prioritise workload and resolve conflicting diary requirements.
To plan, co-ordinate and support meetings and ensure timely production and distribution of associated papers, including
the taking and transcribing of minutes. This will include attending and supporting at a variety of meetings on behalf of the
QI Advisor and wider ABCi team.
To co-ordinate training sessions and specific events, e.g. training, conferences, team building, workshops as requested by
the QI Advisor and ABCi Team. Organisation activities include booking of venues, correspondence with delegates, setting
up refreshments, programmes, resources for each day, room set up and clear down, etc. Course examples include, PocEd
QI/PocEd Measurement, QI Coach Programme, QI Programme/collaborative events.
Establishing and working with teams to implement new systems and processes of work to improve efficiency and
effectiveness. For instance, working with the ABCi team and others to develop and implement efficient and effective work
processes.
To develop and maintain information and logs where none exist and to support the existing health board systems.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
