Job summary
We are looking for 3 Business Support Administrators to join our busy teams! These are rewarding roles as part of a large, friendly administration team team! We have openings in our CAMHS department and SPA team.Single Point of Access (SPA) Team within Children's Therapies is the first point of contact for services across Hampshire, including Speech and Language Therapy, Physiotherapy, and Occupational Therapy. This role involves taking calls, processing referrals, scanning and uploading documents, booking appointments & dealing with queries from service users and the clinical team.The CAMHS team support children and young people with their mental health. The Business Support team process referrals, make appointments, answer incoming calls and deal with their queries and signposting. The service is divided into three main areas - ADHD, Eating Disorders & CAMHS.We are also looking for a CAMHS Reception post (Band 2). The role will involve checking people in at reception, support with room bookings, maintenance tickets, ordering stationery, and maintaining IPC standards across the building.
Main duties of the job
*Use & accurately populate the electronic record system (Systm One) with information to include referrals, scanning & uploading information from other services in a timely manner etc., taking responsibility for the quality of the data & taking note of the Health Records Standards & Procedures & Record Keeping Policy*Follow agreed processes for dealing with emails on Outlook, on a regular basis prioritising urgency & importance, signposting/dealing with queries (often sensitive) regarding issues arising.*Provide support to training events e.g. away days, skill slots etc. involving the coordination of diaries.*Attend & participate in team/other meetings, ensuring any actions are completed by the required date & take minutes if requested.*Provide cover & support during times of absence for the core functioning of the admin team.*Maintain current office policies & procedures, be actively involved in their development.*Undertake limited supervision of Band 2 or new staff in absence of the Business Support Team Leader & Business Support Team Manager*Provide admin support to the Business Support Team Leader to set up & review administration systems/processes as deemed appropriate.*All duties will be carried out within the Trust's Information Governance, recording, and data sharing procedures and guidance.
