Patient Administrator - Front of House inLondon inLondon PUBLISHED 21 MAY 2024

Represents One Heart Clinic by being our front of house representative.Announcing scheduled patients and visitors; screening unscheduled patients and visitors; arranging referrals to other health care providers; scheduling appointments for consultations, x-rays, lab tests, MRI's, CT scans, etc.
The post holder will be required to support the general administrative requirements of One Heart Clinic with particular focus on supporting our patients through the service, in particular when visiting the clinic. This will require an exceptional level of customer service and multi-tasking.


This is a compressed working hours role whereupon you will work 4 x 10 hour days with a day off midweek. You will also be scheduled to work Saturdays on a rotational basis (approx 1 in 8).

The post holder will be responsible for email enquiries, scheduling patient appointments (this includes point of care diagnostics, advanced imaging, and elective procedures), reviewing, and amending clinical letters before processing, billing self-pay patients and collecting payments and general administrative tasks.

The applicant must be highly skilled in multi-tasking with exceptional customer service as this role requires the post holder to manage a busy general enquiries phone line as well as email and online chat functions.


Responsibilities And Duties


  • Represents One Heart Clinic by being our front of house representative.Announcing scheduled patients and visitors; screening unscheduled patients and visitors; arranging referrals to other health care providers; scheduling appointments for consultations, x-rays, lab tests, MRI's, CT scans, etc
  • Working closely alongside our cardiologists,supporting their outpatient clinics.
  • Ensures all patient record keeping is clear and up to date.
  • Ensures clinician productivity by maintaining calendars; scheduling patient appointments; consultations; professional meetings, conferences, and teleconferences
  • Ensures all billing information is correctly gathered and invoicing is done in a timely manner
  • Maintains the highest level of confidentiality for all One Heart Clinic Patients.
  • Ensures that all tasks are kept up to date with clear notes about communications to patients and all other record keeping.
  • When requested and on occasion generates revenues by completing direct patient and third-party billing; monitoring accounts receivables; initiating collection calls and reminders.
  • Secures information by completing database back-ups.
  • Maintains office supplies inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt.
  • Keeps office equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
  • Maintains quality results by following and enforcing all company standards.
  • Serves and supports the health care community by adhering to professional standards, Clinic policies and procedures
  • Updates job knowledge by participating in educational opportunities; reading professional publications.
  • Enhances clinician office reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Supports the clinic in all governance related tasks i.e., audits, collecting customer feedback, preparation for regulatory inspections etc.
