Primary Key responsibilities include
Complete opening and closing procedures in accordance with the duty rota
Process personal & telephone requests for appointments
Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
Signpost patients to the appropriate services
Initiating contact with and responding to, requests from patients, team members and external agencies
Distribute medication/prescriptions; work and communicate with dispensary staff
Clinically code data on Emis clinical system
Action incoming emails and correspondence as necessary
Scan patient related documentation and attach scanned documents to patients healthcare records
Photocopy documentation as required
Data entry of new and temporary registrations and relevant patient information as required
Input data into patients healthcare records as necessary
Direct requests for information to the administrative/secretarial team
Manage all queries as necessary in an efficient manner
Maintain a clean, tidy, effective working area at all times
Monitor and maintain the reception area and notice boards
Support all clinical staff with general tasks as requested
Additional responsibilities include
Providing cover during staff absences
Participate in the receptionist rota for lunch and out of hours cover
Assist with cleaning and tidying kitchen area according to rota.
Deputise for the other members of the reception team during periods of absence

Duties can include, but are not limited to, greeting and appropriately directing patients according to their needs, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.
The successful applicant willact as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.
