Job Summary
The Service Support Co-ordinator is responsible for providing daily operational management support to the Head of Pharmacy Clinical Trials & Advanced Therapies. This involves ensuring that the service operates smoothly and efficiently from a non-clinical perspective. Key tasks might include administrative support, such as handling scheduling, correspondence, and documentation. They also manage resources, ensuring that necessary supplies and equipment are available and properly maintained. Additionally, they work on process improvement by identifying and implementing enhancements to streamline operations and enhance service delivery. Compliance and reporting are also part of their role, ensuring that all non-clinical activities comply with relevant regulations and standards, and preparing reports as needed.
Main duties of the job
The Service Support Co-ordinator is entrusted with making independent decisions in the day-to-day operations of the service without needing constant supervision. This autonomy allows them to address routine issues, manage tasks, and ensure the smooth functioning of non-clinical aspects of the service. Their ability to make informed decisions quickly and effectively is crucial for maintaining operational efficiency.
When the Head of Pharmacy Clinical Trials & Advanced Therapies is unavailable, the Service Support Co-ordinator steps in to cover their responsibilities. This requires a comprehensive understanding of the key non-clinical issues that may arise within the service. They must be well-versed in the operational challenges and be able to identify and address any problems that occur. This knowledge enables them to brief senior stakeholders, such as the General Manager or Chief Pharmacist, accurately and confidently. They need to provide these stakeholders with clear, concise updates on the status of the service and any issues that need attention.

The role includes delegated responsibilities for service planning, staff performance management, staff recruitment, staffing, activity monitoring and delivery, coordination of complaints, quality control, and budget monitoring. The Service Support Co-ordinator facilitates the day-to-day management and service delivery of the Pharmacy Clinical Trials service. They assist and lead multidisciplinary teams to deliver high-quality service and ensure the effective and efficient use of resources to achieve all relevant targets.
They manage and are responsible for the administrative services for the pharmacy clinical trials team, including the management of administrative staff. They coordinate trials tracking activity within the Trials service, ensuring that core information on trials, including current status, resourcing, activity, and budgetary information, is kept up to date. This includes reporting on the status of individual trials and overall team activity and performance. The Service Support Co-ordinator works with the Head of Pharmacy Clinical Trials & Advanced Therapies to achieve all targets that apply to their service area and provides support for the effective budget management of the service.
