Speech joins together Radio 4, Radio 4 Extra, 5 Live, 5 Sports Extra and speech podcasting. It is split between bases in London and Salford. This role would be based in the London office, working with Radio 4, Radio 4 Extra and the Speech Digital team.
Radio 4 is unique in the breadth and quality of its informative, educational and entertaining programming. Every day, on air and online, Radio 4 has more original content than any other broadcaster in the world. Its authoritative news and current affairs journalism is complemented by programmes exploring every aspect of life, through regular strands, one-off commissions, special seasons and digital-first or digital-only content. Radio 4 Extra is the principal outlet for the BBC's archive of speech entertainment, including comedy, drama and readings. Every day, on air and online, through imaginative scheduling and crafted use of the archive, it offers the listeners a unique mix of content. Our Digital team support all our programmes and non broadcast speech podcasts to enable them to shine in the on demand space and drive listening through BBC Sounds.
About The Administration Team
The Admin team sits at the heart of the London Speech team. We provide support for commissioning, finance and IT, and manage ad hoc projects, events and diaries.
This role is key to the smooth running of the team, working closely with the senior Speech management team to ensure they have the support they need to do their work efficiently.
Main Responsibilities
BBC Speech is looking for a dynamic and engaged Team Assistant to support the team, covering a variety of tasks.
You will ensure the team is able to work as effectively as possible, including handling their diaries and booking meetings. You will raise purchase orders and work with a variety of IT systems to ensure everyone has the information they need. You will also take on a variety of other tasks to support the wider Speech team as needed.
We’re looking for someone who actively seeks to resolve issues, enjoys working with a wide variety of people across the organisation, at all levels, and has the confidence to work with a wide variety of IT systems.
As part of our team is Salford based, there may also be trips to Salford or to other BBC bases when needed.
Specific Responsibilities
Support the Speech leadership team:
- Manage diaries for members of the senior team, as required
- Book travel and accommodation
- Organise meetings; potentially take minutes and follow up on actions
- Raise purchase orders and assist with financial tracking
- Help organise team events and socials
- Help organise the Radio 4 commissioning round
General Business Support For Wider Speech Staff
- Maintain our office spaces in London
- Keep email distribution lists up to date
- Look for opportunities to improve admin processes within the team
- Ad hoc activities such as: booking couriers, ordering stationery & equipment, managing IT assets, collating information requests
Are you the right candidate?
- Highly organised and effective at prioritising a wide range of tasks.
- Experience of managing multiple diaries and the schedules of senior leadership roles (Band F and above).
- Able to work with multiple key stakeholders/managers.
- Able to build good working relationships with people at all levels in different parts of the business, internal and external.
- Experience of financial management systems (e.g. Ariba, SAP).
- Experience of office software packages (in particular Outlook, Word, Excel and PowerPoint).
- Strong communication skills.
- Able to spot potential issues in advance and work to resolve them (e.g. diary issues).
- Able to get up to speed quickly with new tools and systems and use a variety of methods to do this.
- Determined, resilient, enthusiastic, approachable, helpful, flexible.
- Experience of handling sensitive data, and keeping information confidential where needed.
- Ability to use own initiative with minimal supervision and deal with routine queries as they arise, escalating to others as necessary.
- Track record of attention to detail and accuracy.
