Job Summary
The Registration Authority (RA) Agent plays a key role in supporting the Electronic Patient Record (EPR) Programme, ensuring all healthcare professionals have appropriate access to NHS digital systems via NHS Smartcards. This role involves administering user registrations, identity verification, and compliance with national RA guidelines while providing efficient and professional support to system users.
Main duties of the job
Epsom and St Helier are seeking a Registration Authority (RA) Agent to support the implementation and administration of the Electronic Patient Record (EPR) Programme across the Trust, ensuring staff have the correct access to NHS systems via Smartcards.
As an RA Agent, you will be responsible for:? Processing new EPR system registrations, account amendments, and Smartcard issuance.? Verifying identity checks and maintaining compliance with national RA guidelines.? Providing first-line support for RA service queries and assisting users with system access.? Coordinating with HR, IT, and external partners to manage credentialing and access control.? Supporting training sessions, maintaining records, and ensuring smooth RA operations.

- Issue and maintain NHS Smartcards, ensuring correct access permissions for staff.
- Conduct identity verification checks following national RA guidelines.
- Provide initial guidance to staff on logging in and using Smartcards correctly.
- Maintain the RA and Learning Management System, ensuring accurate input and data integrity.
- Ensure compliance with national NHS RA policies and security protocols.
- Assist with audits and updates to RA processes to align with Trust and national requirements.
- Work closely with HR to manage starters, leavers, and temporary staff access.
- Act as the first point of contact for RA service queries, ensuring efficient and friendly support.
- Provide guidance to staff and managers regarding RA processes and Smartcard access.
- Coordinate with IT, HR, and clinical departments to resolve access-related issues.
- Support RA training sessions for staff and system sponsors.
- Assist in scheduling and communicating training dates, locations, and materials.
- Promote awareness of RA procedures via staff bulletins and internal communications.
- Work with RA Managers, EPR Teams, HR, IT support staff, and external partners.
- Support collaborative RA initiatives across different NHS sites and organisations.
- Assist in maintaining system security and access levels for Trust employees and partners.
- Maintain accurate RA records and reports.
- Assist in planning and coordinating RA-related meetings and events.
- Ensure room facilities and equipment are available and functional for Smartcard issuance and training.
