Patient Access has an exciting opportunity for 1 x 37.5 hours Medical Records Clerk Apprentice to join the team on a 18 month fixed term contract. Experience of using Microsoft packages is essential. Training will be given on eCare and the patient administration systems used, if needed.The successful applicants must be able to demonstrate exceptional organisational skills. The role requires the ability to multitask with prioritisation of tasks. The role can be very busy with varying demands depending on the needs of the service. The successful applicants must always therefore be able to work well under pressure remaining courteous and professional. The successful candidates must be flexible to the changing needs of the department and teams, as needed. They must enjoy working as part of a large team. We are looking for someone who has the ability to adapt and work across all services as needed with excellent keyboard skills. You will be working within a large team and will need to deliver on performance targets.

This role is a fixed term contract, lasting 18 months. For the first 12 months of the apprenticeship, you will be paid the national apprentice wage. From months 13 to end of contract, you will receive the national pay vs your age. Should you complete your course earlier than planned, your contract may finish before month 18 in line with Apprenticeship guidelines.

About us

You will complete the Business Administration level 3 apprenticeship as part of your role and this will be delivered by our external provider. In addition to your daily work on-site, you will take part in interactive workshops and be assigned a tutor and a mentor to support your development on the course.

To use visual display units and other technical equipment which may be located in the section.

To prepare files for use at Outpatient Clinics or for Inpatient or Day Case stay in accordance with laid down instructions.

To deal with requirements for add-on clinics.

The collection and delivery of patient files around the hospital site.

To manage the destruction of patient files in accordance with the agreed guidelines.

Open and date stamp incoming mail.

To deal with telephone queries politely and promptly.

To answer queries regarding records as required.

To update patient demographics from information received i.e. from Doctors; Patients; Quality Team.

To prepare documents for passing through the scanners. This will include: -removing staples; paperclips and any other type of binding to ensure all pages are separated for scanning- straightening/ unfolding of documents- inserting batch headers- applying bar code labels- To scan prepared documents (reports; correspondence and other documentation) through the scanners as necessary and as efficiently as possible, ensuring they are scanned to the appropriate patient record.

To scan documents into the appropriate section of the patient record.

Scanning requirements will include:-feeding documents through by handensuring scan quality is suitableamending scanner settings to get the best results

Scanning to take place where required, i.e. within the In-House scanning Bureau.

To be fully conversant with back-up procedures for use in the event of a malfunction of the EDM system.

Keep up to date with the provision of the Data Protection Act 1998; the Access to Health Records Act 1990 and the latest guidance issued by the Trusts Data Protection Officer and Caldicott Guardian.

To participate in Departmental and Sectional training as directed by the Outpatient Admin Manager.

To comply with policies and procedures as laid down by the Health Records Manager.
