We are looking for a full-time Receptionist/ Administrator to join our thriving multidisciplinary team providing support to our service users in both receptionist and administration functions. This is a rewarding role which will enable the individual to help keep our community healthy and safe.

This is a challenging role for which we require a self-starter, someone who is looking for a fast paced working environment.

*This is a full-time position on-site, Monday Friday*

The receptionist/ administrator must be able to work independently and as part of the wider team. They should be able to build a rapport with patients, provide services in a timely and efficient manner and complete all functions to a high standard.

The candidate must (this list is not exhaustive):

  • be able to communicate effectively and empathetically in person, over the phone and via electronic means
  • be proficient with computers in order to complete administrative functions
  • be willing to adapt, develop and learn in an ever-changing NHS landscape
  • be able to work proactively, using their own initiative including being able to prioritise and manage their workload
  • be able to remain calm and focused under pressure

About us

  • To ensure that all visitors and telephone callers to the practice are greeted professionally.
  • To ensure all telephone calls are managed appropriately.
  • To manage the flow of patients arriving at the reception desk, for appointments, prescriptions or queries.
  • To ensure the clinical staffs receive medical records as requested.
  • To have a thorough knowledge of all practice policies and procedures
  • Provide administrative support for clinical staff.
  • Dealing with patient enquiries efficiently and courteously.
  • The receiving and recording of telephone messages taking appropriate action
  • Making appointments on EMIS, by processing appointment requests for today, future appointments from patients in person and on the telephone.
  • Dealing with all telephone queries/requests from patients, and acting as liaison with the Doctors/Nurses as necessary. Pulling and filing medical records as necessary.
  • Processing repeat prescriptions and filing for collection within 48 hours.
  • Filing patient records and correspondence.
  • Registering new patients following the Registration Protocol.
  • Scanning of documents onto the medical system. All scanning should be cleared daily
  • To send letters to patients as necessary.
