Job description
We are looking for an experienced forward-thinking individual with an adaptable approach to join our friendly and efficient GP Partnership Administration team working across two sites in Totton, Hampshire.
This post will be based at our Forest Gate surgery, but candidates must be prepared to also work at our Totton Health Centre site as and when required, both based in Totton, Southampton.
This vacancy is for 24 hours per week over 4 days Tuesday to Friday or 25 hours per week over 5 days Monday to Friday
Working together with the Managing Partner and HR Manager to carry out a range of administrative tasks including confidential work, the successful candidate for this new role will have excellent secretarial, administrative and communication skills with a proven history of being well organised and highly motivated to achieve.
The person needs to be used to working in a confidential environment and dealing with confidential documentation and will also work together with the HR Manager to develop and maintain the exciting new HR & Practice software. Ability to work on own initiative is essential, as is proven extensive knowledge of Word, Excel, and Word Publishing software packages.

Job Description:
- To carry out secretarial and general administrative tasks as required
- To carry out HR administrative tasks as required.
- To maintain and update the new practice HR software.
- To manage recruitment process up to and post interview.
- To manage staff induction and leaver process
- To manage staff healthcare membership (staff leavers/joiners)
- To carry out and/or assist with project work as required.
- To arrange individual staff and group education/training sessions as required & maintaining records.
- Maintain Staff and practice Training Log
- To organise Practice social functions and events as required
- To be responsible for maintaining practice Appraisal Register ensuring that all Staff Appraisals are carried out in a timely manner.
- To be responsible for managing Staff Display Screen/Health Risk Assessment process as required.
- To be responsible for completing regulatory online staff and practice audits and reports in a timely manner
- To carry out and/or assist with administration work required to meet practice targets for Quality and Outcomes Framework
- This is not an exhaustive list of tasks; the role will include other duties that may be deemed necessary from time to time in keeping with the role of Senior Administrator.
