Position: Administrator
Village Health Group (VHG) is a large multi-site GP Practice in Rushcliffe, South Nottinghamshire. The 4 sites are located at East Leake, Keyworth, Ruddington & Sutton Bonington.
There is an exciting opportunity to join the VHG group as it goes through a period of change and restructure and is a chance to enjoy a vibrant and forward-thinking primary care team, working closely with all colleagues in the VHG team.
We are looking to recruit two part-time administrators supporting the day to day business, providing quality patient care and development of collaborative processes.
The roles will involve a variety of administration tasks across all areas of the practice to include, scanning, maintaining patient records and system information, creation and running of reports, as well as bespoke project work.
We are looking for individuals who are very organised and self-sufficient with excellent attention to detail. Administration experience in a fast-paced environment is essential, with the ability to think on your feet and demonstrate a pro-active approach to problem solving.
The successful candidates will need to have a flexible approach and be able to work at any of the 4 sites, so access to transport is essential for this role.

Position 1 30 hours
- Monday - 08:00 - 16:00
- Tuesday - 08:00 - 16:00
- Wednesday - 10:30 - 18:30
- Thursday - NWD
- Friday - 10:30 -18:30
Position 2 24.5 hours
- Monday 12:30 - 18:30
- Tuesday 12:30 - 18:30
- Wednesday - NWD
- Thursday 08:00 - 13:00
- Friday 08:00 - 13:00

Job Description: Practice Administrator
Role in Practice -To provide effective administrative support to ensure the smooth and efficient running of the general practice. A practice Administrator will complete administrative duties, manage patient services, support clinical staff, and assist in the implementation of practice policies and procedures.
Responsible for -No Supervisory responsibility for staff
Responsible to -Admin Team Leader
Accountable to -Management team and GP Partners
Responsibilities -
Key Duties
Book and manage patient appointments via phone.
Using questioning techniques identify patient requirements to signpost to correct treatment/appointment slot
- Able to perform key daily tasks in System One and action tasks as appropriate and inline with practice guidance
- Contact point for patient enquires and supporting patients whilst attending the service
- Accurately retrieving filing of both electronic and paper notes and updating demographic information as necessary
- Process patient prescriptions in line with Practice protocols
- Add to waiting lists and book from waiting lists as directed by practice team leader
- Filing post including scanning test results and clinical correspondence into in medical records
- Fax, photocopy, and email correspondence as required
- Dealing with incoming and outgoing post and electronic communication including scanning documents to file
- Registration of new patients computer data entry and making amendments to medical records as required
- Process patients change of address and other demographic information inputting computer data and medical records, having knowledge of the practice area and data protection protocols
- Completing patient referrals in line with current guidelines.
